About the Role
Insight Global Education is seeking a Program Coordinator to join our Programs Team within the Operations Division. Program Coordinators take ownership of the planning, development, and operational delivery of assigned educational travel programs and destinations, ensuring programs are financially sustainable, logistically sound, and aligned with Insight’s educational approach.
Program Coordinators work closely with Insight’s Account Managers to understand client needs and translate them into proposals, itineraries, budgets, and operational plans. A key component of this position is supporting custom programming, requiring strong research, supplier coordination, and problem-solving skills.
This role is ideal for someone who can move comfortably between big-picture planning and detailed coordination while working independently with partners across different cultures, time zones, and working styles.

Location: Remote (US and Canada only)
Compensation: 63k – 69k, commensurate with location and experience
Supervisor: Programs Manager
Paid Time Off: 15 days annually
Key Responsibilities
Program & Location Coordination
- Own the planning and operational delivery of assigned travel programs and destinations.
- Develop proposals, itineraries, budgets, and operational plans that translate client objectives into financially sustainable, logistically sound programs aligned with Insight’s educational standards.
Vendor & Logistics Coordination
- Coordinate directly with hotels, transportation providers, restaurants, activity providers, guides, and other local vendors.
- Communicate proactively with vendors by email, phone, and virtual meetings to confirm pricing, availability, policies, and logistics, and resolve outstanding questions.
- Maintain accurate and organized records of quotes, confirmations, vendor information, and program details.
- Support the coordination of non-DMC programs where Insight manages destination logistics directly.
Research & Program Resources
- Research educational experiences and local partners aligned with program objectives and the UN Sustainable Development Goals.
- Research destination-specific requirements and considerations, including visas and entry requirements, cultural protocols, currency, etiquette, and transportation.
- Draft and maintain program resources, including program descriptions, itineraries, field and facilitator guides, packing lists, risk assessments, and other operational documentation.
- Identify creative solutions and alternatives when program needs, availability, or conditions change.
Cross-Cultural Communication & Partnership
- Build positive and respectful relationships with international partners across different cultures, time zones, and working styles.
- Adapt communication approaches with patience, curiosity, and flexibility while maintaining clear expectations and attention to detail.
Internal Collaboration
- Work closely with Account Managers to understand client objectives, requirements, feedback, and changes, translating these into feasible program plans and operational solutions.
- Collaborate across Insight teams, proactively communicating program updates, risks, budget considerations, and operational needs.
- Support the development and maintenance of internal processes and Standard Operating Procedures (SOPs).
Crisis Response & Program Facilitation
- Participate in a rotating Crisis Response Team (CRT) schedule, which requires occasional evening, overnight, and weekend availability during assigned coverage periods.
- Maintain availability outside regular working hours when scheduled for CRT/on-call coverage.
- Facilitate student travel programs as needed.
Reporting & Evaluation
- Track program performance, budgets, participant and partner feedback, operational trends, and risks.
- Contribute to post-program evaluations, action relevant feedback, and flag recurring challenges or opportunities to strengthen future programs.
Other
- Other duties as assigned to support departmental or organizational goals.
Role Requirements
- 3–6 years of relevant experience in project management, program operations, travel coordination, or a related field.
- Strong project management and organizational skills, with excellent attention to detail and the ability to manage multiple priorities.
- Confidence in communicating with vendors by phone, email, and virtual meetings.
- Experience managing budgets, quotes, and operational details.
- Strong research skills and ability to synthesize information clearly.
- Strong intercultural communication skills and cultural curiosity.
- Creative, resourceful, adaptable, and comfortable solving problems independently.
- Self-motivated and comfortable working independently in a remote environment.
- Strong written and verbal communication skills in English.
- Comfortable working occasional evenings and weekends to accommodate international time zones and program delivery.
- Willing and able to travel domestically and internationally as needed.
- Based in North America within Pacific, Mountain, Central, or Eastern time zones.
Preferred
- Experience in student travel, tourism, experiential education, or youth programming.
- Experience working with international suppliers or partners.
- Familiarity with the UN Sustainable Development Goals.
- Passion for cross-cultural learning, youth development, and mission-driven work.
